Information we collect
We collect your name, contact details and messages when you enquire. When you book or receive treatments, we also collect appointment details, relevant health information, consultation and consent forms, treatment records and treatment photographs where appropriate.
Please avoid including sensitive information in the website enquiry form.
How we use your information
We use your information to answer enquiries, manage appointments, assess treatment suitability, provide treatments and aftercare, maintain records and handle complaints or claims.
Our lawful bases include taking steps at your request before booking, fulfilling our agreement with you, meeting legal obligations where applicable, and our legitimate interests in managing enquiries, maintaining appropriate records and handling claims.
Health information requires additional protection. We seek your explicit consent to use it for suitability assessments and treatment planning. Where necessary, relevant information may also be retained or used for establishing, exercising or defending legal claims.
Providing information needed to assess suitability is necessary for us to decide whether treatment can proceed.
Service Providers
We use IONOS to provide our website and enquiry forms, and Fresha to manage bookings and client records. Information is also processed through our email service when we correspond with you.
Relevant information may be shared with insurers, professional advisors or authorities where necessary for a claim or legal requirement. We do not sell your personal information.
Fresha also processes information under its own privacy policy, available at https://terms.fresha.com/privacy-policy. Its policy explains international processing and the safeguards used.
Marketing and Photographs
Permission to receive a treatment is separate from permission to use photographs publicly. We will seek separate permission before using identifiable client photographs for marketing. Where marketing relies on your consent, you may withdraw it at any time.
Treatment Records
Treatment records are retained for at least 10 years from the date of treatment, in accordance with our insurance requirements. Records relating to minors are retained for at least 10 years after they reach adulthood. Records may be kept longer where needed for an ongoing complaint or claim and are securely deleted when no longer required.
Other Information retention
Enquries that do not lead to treatment are kept only for as long as needed to resolve the enquiry and any related issues. Financial records are retained for the applicable accounting and tax requirements.
Your Rights
Depending on the circumstances, you can request access to your information, correction, deletion, restriction or transfer, and object to certain uses. These rights are subject to exceptions, including where records remain necessary for legal claims.
Where we rely on consent, you can withdraw it by contacting us. Withdrawal does not affect processing already carried out lawfully.
